We are seeking a highly skilled Paralegal Administrator Assistant to join our team at Justin Law Solicitors.

About the Role:

This is a full-time, in-office position that requires strong administrative skills and attention to detail. The ideal candidate will be responsible for managing incoming phone calls, emails, and correspondence, as well as maintaining accurate records and files.

The successful candidate will have excellent organizational skills, with the ability to manage multiple tasks and prioritize deadlines. Proficiency in Microsoft Office and case management systems is essential.

Key Responsibilities:

  • Taking incoming phone calls and responding to client inquiries
  • Managing post, incoming, and outgoing mail
  • Maintaining accurate attendance notes and minutes of meetings and calls
  • Booking appointments and managing fee earner diaries
  • Performing administrative tasks on matters, including reviewing court orders and diarising key dates and events
  • Opening files and performing due diligence checks
  • Raising invoices and costs reports
  • Complying with file-transfer requests
  • Sending and receiving routine correspondence
  • Ongoing conversion of physical records to digital format

About You:

We are looking for an individual who possesses excellent communication skills, both written and verbal, with the ability to maintain confidentiality when handling sensitive information. A proactive approach to problem-solving, combined with a high level of discretion, is essential.

  • Proactive communicator with our team
  • Able to under customer requirements and anticipate their needs
  • Strong organisational skills with the ability to manage multiple tasks
  • Professional appearance and a positive, friendly attitude
  • Proficient in Microsoft Office and familiar with case management systems
  • High level of discretion in handling confidential information
  • Proven experience as a Secretary/Receptionist within a law firm (ideally)

What We Offer:

A competitive salary of approximately £25,000 - £30,000 per annum, depending on experience, plus benefits and opportunities for career advancement.
