Job Description

The Registry Administration Assistant will provide administrative support to the Registry department, working closely with the student regulations and casework team. The successful candidate will be responsible for carrying out a range of routine administrative tasks, maintaining high standards of quality and taking responsibility for their own performance.

Main Responsibilities
  1. Carry out routine administrative tasks, including providing administrative support for the efficient management of student casework.
  2. Provide a frontline enquiry point for advice and guidance to students, staff, and other stakeholders, responding to incoming enquiries in a professional and courteous manner.
  3. Follow established administrative processes within the regulations and casework team, identifying weaknesses in policy or procedures and escalating them as appropriate.
  4. Support the needs of the regulations and casework team to meet the requirements of stakeholders, making improvement suggestions or taking corrective action as necessary.
  5. Maintain records and other information relating to the activities of Registry, including updating records in ASIS and undertaking standard processes within the student records system.
  6. Undertake routine office management tasks, including collecting and distributing mail, monitoring stationery stocks, arranging meetings, and filing records securely.
  7. Develop and maintain a basic understanding of other areas of the section's work to be able to assist at busy periods and provide operational cover in the absence of colleagues.
  8. Support the maintenance of comprehensive web-based information, ensuring information is accurate and timely, and making updates to web pages as required.
  9. Process transactions through the finance system and/or online store, ensuring necessary authorisation is obtained and querying anomalies as necessary.
  10. Ensure all data is stored securely, accurately, confidentially, and responsibly, understanding and adhering to personal responsibilities under GDPR.
  11. Proactively contribute to the work of the whole Registry team, both routine operational tasks and in response to ad hoc requests or projects.
  12. Undertake additional duties as required by the Director of Registry, appropriate to the grade.
