Lettings Administrator Job Description

 

About the Role:

We are seeking a highly organized and detail-oriented Lettings Administrator to join our team at Dove & Hawk. The successful candidate will be responsible for providing administrative support to our Lettings and Property Management team, ensuring seamless day-to-day operations and exceptional customer service.

Key Responsibilities:

  • Support the Senior Lettings Negotiator and Director with administrative tasks
  • Handle the administration of new tenancies, progression tenancies from offer to move-in using Goodlord
  • Respond to telephone and website leads
  • Update and add properties onto the website and various portals, e.g., Rightmove and Zoopla
  • Administer landlord/tenant/property details on Reapit and ensure notes of any changes are made clearly
  • Organize and manage the "To Let" board process
  • Update internal documents and keep the lettings folders current and tidy
  • Update window cards and information on a regular basis
  • Assist in updating spreadsheets and/or Reapit tenancy checklists once they are in place
  • Develop relationships with existing and new landlords
  • Liaise with Accounts to discuss rent or statement queries
  • Assist in attracting new business and increasing market share
  • Renewals Administration
  • Troubleshoot and work with other departments to problem-solve
  • Attend relevant webinars to gain knowledge and relay to colleagues as appropriate
  • Perform other ad-hoc Lettings tasks as required
  • Assist with the occasional viewing

Requirements:

  • Minimum of 2 years' experience in an administration role
  • Prior experience in the property industry would be advantageous
  • Good organizational and coordination skills
  • Excellent verbal and written communication skills with a positive attitude and excellent attention to detail
  • Excellent time management
  • Ability to multitask and work accurately and effectively under pressure
  • Must understand the principles and practice of client care
  • Ability to work in a team and understand team dynamics
  • Full clean driving license and own vehicle

Package:

  • £25,000 to £27,000 DOE + Additional pay for Saturday hour
  • Performance-related bonus
  • 21 days annual leave
  • Parking permit

Working Hours:

Monday to Friday 9am to 5:30pm with an hour lunch, every other Saturday 10am to 2pm (Saturdays hours are paid in addition to annual salary)
