Job Summary
We are seeking a highly organized and customer-focused Office Administrator to join our team at Pilkington Gateshead. The successful candidate will report directly to the Office Manager and be responsible for supporting the current office team in maintaining and improving customer service.
Main Responsibilities
- Provide a warm and timely response to customer inquiries and resolve issues in a professional manner.
- Process and manage customer orders, including order confirmations, proof of delivery documentation, and post-order communication.
- Prepare quotations based on customer product information and handle queries, enquiries, approved product sample and literature requests, complaints, and claims.
- Maintain accurate customer logistics data, including delivery requirements, and ensure that deliveries are scheduled and communicated in line with despatch capabilities.
- Enter quotations and orders through the ALCIB system and take credit card payments from customers.
- Raise purchase orders via SAP and coordinate communications with customers and internal and external departments.
- Communicate and cooperate with management on all Health & Safety issues and work with Sales and Operational teams to achieve Profit, Price, and Volume targets for the Merchanting sector.
- Perform general office administration duties, including maintaining daily work records as per Pilkington requirements.
Requirements
- Possess effective communication skills and demonstrate the ability to communicate at all levels with both internal and external customers.
- Be able to organize and prioritize workloads to meet deadlines and identify issues requiring timely resolution.
- Have the ability to work under pressure in a busy office environment either on their own initiative or as part of a team.
- Be confident in using Microsoft 365 IT packages, especially Outlook, SharePoint, Word, and Excel.
- Have experience of using SAP or other similar business systems, although full training will be provided.
