We are looking for a skilled Procurement and Accounts Assistant to join our team at Barhale in the UK. As a Procurement and Accounts Assistant, you will be responsible for managing all aspects of assigned supplier accounts, ensuring processes are followed and all supplier accounts are up-to-date, accurate, and paid in a timely manner.

The estimated salary for this position is £22,000 - £28,000 per annum, depending on experience.

In this role, you will:

  • Manage Purchase Ledger and subcontract invoices & credits daily (some will be subject to CIS tax & Reverse Charge VAT).
  • Ensure supplier reconciliation (preferably in Excel format) is performed in line with KPIs.
  • Chase missing invoices or credits with vendors and request copies.
  • Process Accounts Payable Journals to correct errors etc.
  • Reconcile Direct Debits, process documents, and match against payments taken directly from our bank account.
  • Prioritize and immediately address Overdue letters/7-day notice letters etc.
  • Work with Cost Clerks, QSs, Procurement, and suppliers to ensure audit/process compliance and identify opportunities for improvement.
  • Select suppliers for weekly payments (from a list provided), check and authorize payment proposal lists when authorized by Manager, execute for payment, and pass to Treasury.
  • Set up and maintain Vendor Master File, confirming bank details directly with suppliers.
  • Verify all details are up-to-date on the Vendor Master File (e.g., correct name, address, VAT, and Company registration numbers, bank details, etc.).

The ideal candidate should have strong IT skills, including MS Office (Excel, Word), and an understanding of Reverse Charge VAT and Construction Industry Scheme Tax (CIS). The key measures and targets include no invoices/credits registered against daily/monthly targets, accuracy of data entered (error rate), monthly Supplier Reconciliations set against KPIs, and no accounts on stop.
