We are seeking a highly organized and detail-oriented Medical Secretary to join our team at the Royal National Orthopaedic Hospital NHS Trust. As a Medical Secretary, you will play a vital role in providing administrative support to our clinical teams, ensuring the smooth operation of our services.
Key Responsibilities- Provide high-quality secretarial and administrative services to our clinical teams, including typing, proofreading, and general administration duties.
- Manage the clinical team's correspondence, including clinic letters and other clinical or general correspondence.
- Book patient appointments in accordance with the 18-week pathway targets and Trust guidelines.
- Oversee all outcomes from clinic, ensuring patients' attendance, imaging requests, and therapy requests are actioned by the clinical team.
- Manage the postal system for incoming and outgoing mail, ensuring confidentiality and data protection.
- Deal with incoming telephone enquiries and written queries promptly and efficiently, including appointment booking.
- Work collaboratively with other medical secretaries and administrators to ensure a high-quality service is maintained at all times.
- Undertake scanning and filing of correspondence, clinic notes, test results, and other documents using Note On.
- Ensure clinic session change forms are completed as required and maintain patient information on the Patient Administration System.
- Provide cover for other administrative/secretarial staff during times of absence, as delegated by the Deputy Service Manager.
- Undertake general office duties, including photocopying, faxing, filing, and scanning.
- Good communication and interpersonal skills.
- Excellent organizational skills and ability to prioritize workload.
- Ability to work well in a team and on own initiative.
- Ability to multitask and perform general administrative duties.
- Ability to work to tight deadlines and targets.
- Attention to detail and good customer care skills.
- Good standard of English, both written and spoken.
- AMSPAR or equivalent qualification.
- Minimum of 1-3 years medical secretarial experience within NHS Hospital care.
- Minimum 1-3 years audio typing experience within NHS Hospital care.
- Experience of working within multi-disciplinary teams in a Hospital setting.
- Understanding of the need for confidentiality and data protection.
