Job Overview

We are seeking a highly skilled and experienced Anaesthetic Medical Secretary to join our team at East Lancashire Hospitals NHS Trust. The successful candidate will provide administrative support to our Anaesthetic, Critical Care and Acute Pain Directorate, ensuring the smooth operation of our department.

Main Responsibilities
  • Provide secretarial support to the Directorate, working independently and making decisions on a regular basis.
  • Manage the rota using the CLW system, ensuring all duties are covered and the system is updated with changes, rota swaps, leave requests, extra duties, and on-call arrangements.
  • Attend the weekly scheduling meeting to discuss and agree on rota arrangements.
  • Arrange cover for additional theatre sessions, sickness cover, or changes as they arise.
  • Converting data from the database to graph format, using Microsoft packages to produce reports.
  • Typing up coroners' reports and any reports as required.
  • Typing letters from Pre-Assessment.
  • Correspondence as requested by the Consultants and doctors within the department.
  • Ensuring all appropriate documentation is completed for new starters and trainees.
  • Develop and manage the rotas for trainees across all areas of the department, including ICU, Obstetrics, Theatre, and on-call.
  • Maintain accurate database records for areas within the Directorate and Acute Pain.
  • Maintain accurate reporting systems for sickness and ensure the process is implemented and adhered to by staff within the department.
  • Deal with telephone and general enquiries, ensuring appropriate messages are relayed, and initiating action on routine matters or ensuring fuller action is taken.
  • Issuing bleeps to new personnel on appointment and rotation of the junior doctors.
  • Attending the Induction programme for trainees and new starters.
Person SpecificationEssential Criteria
  • GCSE English at level 4 or above or equivalent level of skills.
Desirable Criteria
  • ECDL.
Job ExperienceEssential Criteria
  • Extensive secretarial experience.
  • Experience in establishing/maintaining robust office systems.
  • Extensive experience of information technology systems (e.g. Word, Excel, Email, Access, PowerPoint, Outlook).
  • Excellent organisational skills/experience in management of self and others.
Desirable Criteria
  • Knowledge and experience of medical rota.
Personal QualitiesEssential Criteria
  • Ability to understand, absorb, and comply with detailed procedures.
  • Experience of developing and maintaining good working relationships at all levels.
  • Understanding and commitment to the need for confidentiality.
  • Excellent communication and interpersonal skills.
