Operations Assistant Job Description
  • Support the operational efficiency of the Drainage team by managing job scheduling, diary management, and CRM system utilization.
  • Plan, schedule, and review workload and manpower to achieve targets on a cost-effective and profitable basis.
  • Ensure effective email management and complete actions as required.
  • Coordinate the activities that affect operational decisions and business requirements, including stock, vehicles, technicians, and sub-contractors.
  • Provide guidance to technicians on creating detailed work schedules based on strict timelines.
  • Manage RAMS amendments and circulation, and issue contract post-job reports and Decontaminate Certificates.
  • Communicate changes in delivery dates to relevant parties and purchase materials and services required for job delivery.

Requirements:

  • Good level of Maths and English.
  • Minimum 2 years of office administration experience, preferably 1 year in Customer Service.
  • Exposure to working within an Operations department or knowledge of Operations is beneficial.
  • Knowledge of general IT systems and applications, including spreadsheets, word processing, and databases.
  • Experience in maintaining comprehensive records.
  • Ability to prioritize workload, time management, and dealing with conflicting priorities.
  • Ability to communicate effectively both internally and externally at all levels.
  • Ability to compose and produce standard reports.
  • Ability to deal sensitively and appropriately with confidential information.
  • Ability to undertake routine calculations.
