Role Overview

As an Associate Producer, you will truly represent Sleek's 'go further' passion, delivering outstanding, creative brand events and experiences. This is an exciting opportunity to work on our world-class events for globally renowned brands, from the initial concept through to on-site delivery and debrief.

You will be a key point of contact on projects, with junior team members looking to you for guidance on the projects you lead, while senior team members will rely on you to support them across a variety of larger, complex projects. Organisation will be integral, and our clients will be your priority.

What sets you apart from the project management track is your involvement in developing ideas and concepts. You will be able to deliver tasks and projects on time and in budget, while growing in confidence to push boundaries. With the concepts/ideas in hand, you'll be able to brief simple briefs and technical requirements into suppliers and colleagues, supporting pre-production and on-site delivery. You will also be responsible for suppliers and external collaborators who are involved in the execution, development, and production of your projects.

You will hone your skills in logistics, deadline/timeline management, and supervising cross-functional team collaboration. You will also oversee budgets, maximizing value for both us and our clients.

You will have a baseline understanding of the strategic processes involved within project scoping, pitching, and delivery. This understanding will not only be harnessed by the live team but also the business development team to support business growth.

Building on your process knowledge, you will also aid process improvements to further elevate and exceed client expectations.

The role involves both UK and international travel and will report into a Senior Producer or an Executive Producer.

Requirements
  • Project Management:
    • Own small-scale projects or dedicated project sections from beginning to end, communicating with all relevant teams throughout to guarantee a successful result. When supporting larger projects, keep the Project Lead updated, playing a proactive approach in mitigating any hurdles.
    • Anticipating and responding intuitively to challenges with appropriate solutions.
    • Implementing client requirements on a project-by-project basis, challenging and suggesting alternatives if it's for the good of the project.
    • Has the ability and confidence to make suggestions for the scoping and plotting resource and strategy.
    • Able to budget and manage production, strategy, and resource on a small-medium project, working towards building that knowledge.
    • Has a comprehensive understanding of project management and good foundation knowledge in strategic processes. Understands how the departments collaborate to deliver projects on time, on budget, and to the client's needs while aiming to exceed stakeholder expectations.
    • Work with the wider team and clients to source and select all event elements that meet the event objectives, including venue, logistics, creative, and technical. Inputting also into project resourcing.
    • Brief in simple creative design briefs to the creative team, managing time spent and deadlines.
    • Hold a basic understanding of technical production, but know when to bring in a dedicated technical production manager/team for the good of the project.
    • Own project planning and on-site documentation/schedules, ensuring budgets and critical paths (project milestones) are appropriately populated. Adhering to all internal and client processes.
    • Managing supplier relationships; sourcing, briefing, negotiating, and ensuring deadlines and budgets are met, while always having client expectations at the forefront.
    • Develop a preferred supplier network. Ensuring the best rates and delivery of service.
    • Understanding and adherence to event health and safety requirements.
    • Actively participating in internal and external debriefs for the purposes of review and continual improvement.
    • Sharing learnings with the team from an operational, technical, content, and supplier perspective.
    • Managing the post-event administrative process, including working with Marketing to create a case study.
  • Client Relationships:
    • Maintain client relationships by delivering high-quality work at every stage of the project.
    • Show a comprehensive acknowledgement of the clients' objectives and how these could translate to an event 'red thread'.
    • Play a more active client-facing role, beginning to own/manage a specific area of the client success journey. This could include taking the initial brief, through to idea generation, proposals, client calls, etc.
    • Be proactive in all client engagements and ensure all communication is prompt, meeting client SLAs.
    • Play an active role on RFP's, specifically assisting with budgeting and supplier communication.
  • Finance:
    • Preparation and ongoing proactive management of budgets in multiple currencies, ensuring accuracy with any fluctuations justified, adhering to internal processes including recording quotes, creating PO's, payment schedules, processing invoices accurately, staying within budget.
    • Ensure the team's time is well allocated, tracked, and spent wisely on projects, charging for actual time spent.
    • Be a time management guru. Ensure all timesheets are accurate and updated regularly.
    • Ensure projects are reconciled and information is passed in a timely fashion to Finance for billing.
  • General:
    • Constantly refresh and expand your industry knowledge to keep up to date with the latest trends and suppliers.
    • Provide mentorship and knowledge sharing to more junior members of the team.
