Maintenance & Contracts Coordinator

We are seeking an experienced Maintenance & Contracts Coordinator to join our team at Response Personnel Ltd. This is an exciting opportunity to work with a well-established company in the Leighton Buzzard area.

Key Responsibilities:

  • Provide general administration support to the Office Contracts Team Leader.
  • Develop and maintain relationships with customers through phone and email communication.
  • Process and check purchase orders received from customers.
  • Administer the company's schedule of maintenance contracts to ensure accuracy and relevance.
  • Coordinate job scheduling and booking using the contract schedule to ensure timely visits.
  • Manage calendars for Field Service Engineers.
  • Review and submit job reports from Field Service Engineers, identifying areas for repair quotes.
  • Prepare basic quotes for customers.
  • Input site information into risk assessment templates.
  • Compile monthly reporting information from the field service team.
  • Perform general office duties, including telephone answering and filing.

Requirements:

  • Excellent customer service skills.
  • Strong organisational and attention to detail.
  • Ability to work under pressure and manage workload.
  • Flexibility and teamwork.
  • Ability to work independently.
  • Good communication skills, both written and verbal.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Ability to learn new tasks quickly.
  • Competent in multitasking.
  • Positive attitude and administration experience.
