Role Summary

We are seeking an experienced administrative assistant to join our publishing team. The successful candidate will have a strong background in publishing, excellent organizational skills, and proficiency in Microsoft Office.

Key Responsibilities:

  • Coordinate with the Content Operations Manager to submit and track invoices, set up new payees in Endeavor's finance system, and send and track contracts for writers, photographers, illustrators, and freelancers.
  • Add production deadlines to the Publishing team's shared calendar and set up daily run-throughs and content, production, and design meetings.
  • Manage printing of press cards and business cards and organize the Publishing team's post.
  • Maintain the library and archive in the London office.
  • Provide occasional administrative support for frieze magazine events, sending out invites, updating guest list spreadsheets, and passing on any queries from the events mailbox to the Publishing and Events Manager.

Requirements and Qualifications:

  • Prior experience in publishing or a related field.
  • Proficient in Microsoft Office, particularly Excel and Outlook.
  • Excellent organizational and time management skills.
