Customer Support Specialist

The Receptionist / Client Administrator is a pivotal role within our operations team at Capstone Financial. This position plays a crucial part in ensuring seamless case progression and timely turnaround while maintaining exceptional accuracy. As the first point of contact, you will be responsible for handling reception duties, managing meeting room bookings, running reports, and providing administrative support to the adviser team.
We are seeking a highly organized and efficient individual with strong communication skills to join our team. Your primary focus will be on delivering exceptional customer service, both in person and over the phone, while also performing general administrative tasks. The ideal candidate will have proficient Microsoft package skills, fast and accurate data input abilities, and a client-centric approach.

Key Responsibilities:
- Handle reception duties, answer phone calls, transfer calls, and take messages as necessary.
- Manage meeting room bookings and setup.
- Run reports using our back-office system to show clients due for financial reviews.
- Provide reports to the adviser team to identify clients requiring diary booking.
- Making calls to inform clients of upcoming financial reviews and booking meetings with their advisers.
- Diary management for advisers.
- Logging call and email activity in our back-office system and tracking follow-up calls.
- Producing client letters and following up as necessary when unable to contact clients.
- Preparing packs for client review meetings.
- Running weekly reports for client birthdays, sending e-cards, and arranging gifts as required.
- Performing general administrative tasks, including restocking stationery and cleaning materials.
Requirements:
- Proficient in Microsoft packages (Outlook, Word, Excel, Teams).
- Fast and accurate data input skills.
- Strong organisational skills and ability to manage multiple tasks efficiently.
- Client relationship skills.
- Excellent written and verbal communication skills.
- Confident on the telephone and able to hold conversations with various clients.
- Able to prioritise tasks effectively with good time management skills.
Salary and Benefits:
The salary for this role is £18,000 - £20,000 per annum, depending on experience. We offer 25 days holiday plus an additional day off for your birthday, life insurance, pension scheme, and flexibility to work from home after successful completion of probation.
