About the Role

We are seeking a highly organised and detail-focused Business Support Administrator to join our team at EMCOR UK. As a key member of our facilities management team, you will play a crucial role in supporting the delivery of our NEC contract for New Works and Maintenance activities.

Key Responsibilities
  • Provide administrative support to the Technical Coordinator, ensuring the Document Control Centre and Risk register are up-to-date and utilised effectively.
  • Manage and coordinate NEC correspondence, ensuring it is accurately referenced, stored, and communicated to stakeholders.
  • Analyse and review data in the DCC to provide management reports and maintain data integrity.
  • Work closely with Project Managers and Maintenance Managers to ensure all actions and communications are completed within the timescales detailed in the NEC process.
  • Develop and maintain a deep understanding of the NEC process, serving as a subject matter expert and point of contact for queries.
  • Attend risk register meetings to provide risk detail to customers from the DCC.
  • Contribute to the development of EMCOR processes and procedures to create best practice solutions in managing NEC.
  • Support New Works management and WSOs in creating and maintaining a plan of work for project activity.
  • Review project plans weekly and communicate any changes to delivery dates to customers.
  • Provide administrative support to the Helpdesk and Project Managers, ensuring up-to-date information on high-profile project work.
  • Input data accurately onto client and local databases.
  • Deal with customer queries and requests in accordance with contract KPIs, ensuring high levels of customer satisfaction.
  • Assist with general office duties, including report preparation, filing, and scanning of critical documentation.
  • Maintain and manage contract mobile phones and fleet.
  • Monitor and replenish stationery supplies.
  • Book visitors onto site, ensuring continuity of work and meeting customer requirements.
  • Support the annual site security pass validation process for EMCOR employees and subcontractors.
  • Act as a central hub of information, providing support to colleagues and customers as the first point of contact.
  • Use the Accounts System JDE to raise purchase orders.
  • Ensure up-to-date training on system applications, attending training courses or self-taught modules as necessary.
Requirements
  • Proven ability to provide high-quality administrative support, with a keen eye for detail and excellent organisational skills.
  • Excellent level of interpersonal and communication skills, with the ability to liaise with customers and staff at all levels in both written and spoken English.
  • Demonstrated ability to contribute as a member of a team to achieve positive outcomes and provide quality service to customers.
  • Flexible approach to duties, with the ability to work on own initiative and manage competing priorities.
  • Demonstrated organisational and time management skills, including the ability to manage prescribed processes and achieve tight deadlines.
  • Demonstrated experience in computer applications, including Microsoft Office (Word, Excel, PowerPoint), email, and databases.
