Andy File Associates Limited is a leading recruitment agency partnering with a specialist in logistics and freight forwarding to find a highly skilled Finance Assistant.

The company, founded in 2003, excels in worldwide, time-critical logistics solutions and delivers customised event transport services to clients in the Live Touring, Theatre, Film, TV, and Sport industries.

The Finance Assistant will play a crucial role in supporting the Finance Manager and undertaking ad-hoc requests. Key responsibilities include:

  • Monitoring multiple inboxes and responding to emails and queries from customers and suppliers in a timely manner.
  • Matching bank account and credit card transactions in Xero.
  • Obtaining current exchange rates daily and updating them in BoxTop.
  • Matching supplier invoices to costs in BoxTop against the correct job and querying any discrepancies.
  • Transferring supplier invoices from BoxTop to Xero once costs have been matched correctly.
  • Ensuring all overhead invoices are correctly authorised and posted to Xero in a timely manner.
  • Reconciling supplier statements in a timely manner.
  • Producing a payment run schedule ready for approval from the Finance Manager.
  • Promptly transferring sales invoices from BoxTop to Xero.
  • Performing credit control tasks, including chasing overdue invoices and phoning customers.
  • Investigating and resolving outstanding creditors and debtor items without delay.
  • Requesting invoices or remittances for any unallocated payments.
  • Sending customer statements regularly to ensure payments are received on time and chasing overdue payments weekly.
  • Producing a weekly debtors report and highlighting any issues to senior management.
  • Reconciling company credit card purchases in a timely manner.
  • Maintaining job-related expenses in BoxTop and Xero.

The ideal candidate will have:

  • A minimum of two years' experience in a similar role.
  • Excellent IT skills, with experience of working with Microsoft Office packages and intermediate to advanced Excel skills.
  • Proficiency in using Xero accounting software.
  • Experience of using freight software is advantageous.
  • Previous experience of working with multiple currencies is desirable.
  • Attention to detail and accurate data inputting skills.
  • Proactive with the ability to organise own workload.
  • Strong time management skills with the ability to work under pressure when adhering to competing deadlines.
  • Ensure that all accounts receivable activities comply with relevant financial policies and procedures.

The company offers a competitive salary of £28,000 - £30,000, 25 days' annual leave plus Bank Holidays, private medical insurance, company pension, and on-site parking.
