Job Title: Clinical Administrator

We are seeking a highly organized and detail-oriented Clinical Administrator to join our Community Paediatrics Admin Team at The Bridge, Stafford.

This key role will involve providing comprehensive administrative support to the Community Paediatrics Team, ensuring the smooth operation of our services.

Main Responsibilities:
  • Answering and directing phone calls in a professional and courteous manner
  • Audio typing of confidential clinic letters with high accuracy
  • Booking Paediatrician and Nurse clinics, ensuring efficient use of resources
  • Co-ordinating meetings and appointments, maintaining a high level of organization
  • Opening and scanning post, ensuring timely processing
  • Processing referrals, adhering to strict deadlines
  • Using IT systems, including Rio, to manage data and reports
  • Dealing with general enquiries, providing excellent customer service

You will be expected to prioritize work and meet deadlines, demonstrating excellent time management skills.

Excellent interpersonal and communication skills are essential, with the ability to deal with sensitive and challenging situations.

Additional Responsibilities:
  • Minute taking, ensuring accurate records
  • Organising meetings, ensuring smooth logistics
  • Collating and maintaining databases, ensuring data integrity

Maintaining an effective office support system, including electronic filing, photocopying, scanning, and reception duties.

Providing clinic support to medical and nursing staff, ensuring infection control measures are completed.

Collating and analyzing data relevant to service needs, including Was Not Brought (Did Not Attend) rates, referral rates, and training compliance.

Greeting and escorting service users to the appropriate clinician.

Supporting the clinician with demographic information on forms, ensuring accuracy.

Keeping a record of requested investigations and chasing results, informing the clinician when available.

Maintaining and developing skills and knowledge to deliver a range of care and interventions under the guidance of a registered practitioner.

Identifying and minimizing risks within the organizational risk frameworks, reporting as necessary.

Ensuring service user experience is core to all clinical and service development, gaining support from corporate teams as required.
