Job Title: Team Assistant

The Team Assistant is a critical role within the Publicis Groupe, supporting Tier 3 personnel and Directors within the PMX and Performance departments. This position requires a highly organized individual with exceptional communication skills, able to manage multiple tasks and priorities with ease.

Key Responsibilities:

  • Provide administrative support with a high degree of initiative, confidentiality, and professional demeanor.
  • Coordinate business travel for the PMX and Performance directorship teams, including flights, accommodations, and backup plans as needed.
  • Manage meeting and event coordination, both client-facing and internal team events.
  • Assist with project management tasks and maintain confidential files and records using judgment and discretion.
  • Handle internal and external correspondence, create reports and presentations as necessary.
  • Build effective, professional relationships with coworkers and business partners.
  • Utilize excellent communication skills to work with multiple stakeholders across different departments.
  • Liaise with 3rd-party vendors on travel booking and provide holiday cover to the EA/PAs within the teams.
  • Manage induction schedules and serve as a point of contact for new starters.

Requirements:

  • Excellent time-keeping and resilience to handle the fast-paced nature of this role.
  • 3+ years of experience in an administrative role supporting executive-level employees.
  • Proficiency with Microsoft Office (Excel, Word, PPT, and Outlook).
  • Excellent communication skills and ability to multi-task and prioritize with agility and flexibility.
  • Strong organizational skills, attention to detail, and accuracy.
  • Excellent relationship-building skills and ability to handle sensitive and confidential information with integrity.
