About the Role

We are seeking a highly organized and detail-oriented Business Administration Assistant to join our team at Bolton NHS Foundation Trust. As a key member of our administrative team, you will provide essential support to our Executive Assistants, ensuring the smooth operation of our office.

Key Responsibilities
  • Provide administrative support to the team, including duties such as photocopying, filing, printing, and recording of specific data.
  • Support Executive Assistants in covering phones, arranging meetings and appointments, and providing IT assistance.
  • Administer and distribute incoming and outgoing mail, ensuring timely and efficient communication.
  • Ensure the department is kept tidy and maintained to health and safety standards, including regular checks of the photocopying room and removal of cardboard and boxes.
  • Assist with the maintenance of efficient systems for storage and retrieval of information, correspondence, and records held both electronically and in paper format.
  • Participate in daily cover arrangements and holiday/sickness cover arrangements within Trust HQ.
  • Welcoming visitors to Trust HQ, navigating them to relevant meetings, and ensuring a professional and courteous experience.
  • Reserving venues for meetings, including the Boardroom and office booking system, to ensure all necessary facilities are provided.
  • Arranging travel and accommodation for Directors/team members as required.
  • Participating in EA team meetings and working with colleagues to standardize practices.
  • Contributing to the ongoing quality effort by prioritizing quality in all work areas.
  • Liaising with staff across the Trust and representing the department in a professional and positive manner.
  • Completing all necessary training and assignments as required for the role.
  • Maintaining a personal duty of care in relation to equipment and resources, ensuring careful use of office equipment and maintaining stock control.
  • Familiarizing yourself with and adhering to the Health and Safety Policy and other Trust policies and procedures.
Person Specification
  • GCSE education with A-C/9-4 functional skills level 2 in maths and English.
  • Commitment to completing the Business Administration apprenticeship.
  • Desirable: Admin/IT-related GCSE, clerical/office experience, and previous NHS experience.
