Job Summary

We are seeking a highly organized and proactive Operational Assistant to join our team at Econic Energy, a leading renewable technology installer in London. The successful candidate will be responsible for managing and streamlining activities across Marketing, Sales, Project Management, After Sales, and Company Administration.

As an Operational Assistant, you will have the ability to handle diverse tasks, maintain high attention to detail, and ensure effective communication within and outside the organization.

ResponsibilitiesMarketing
  • Coordinate logistics and oversee printed materials for trade fairs.
  • E nsure all marketing materials align with brand guidelines and are delivered on time.
Sales
  • Record and organize information from prospective clients.
  • Schedule follow-up calls and site visits for the field team.
  • Manage invoicing, contract preparation, and dispatch to clients.
  • Track payment statuses and follow up on overdue accounts.
Project Management
  • Create and maintain detailed materials lists; ensure timely procurement.
  • Plan and schedule jobs, ensuring alignment with team capacity and deadlines.
  • Prepare commissioning documents and coordinate grant applications for eligible projects.
After Sales
  • Oversee the scheduling of post-project services and support.
  • Respond to frequently asked questions and provide support to clients as needed.
Company Administration
  • Manage accounting tasks, including invoicing and maintaining accurate financial records.
  • Coordinate logistics for trade fairs and ensure compliance with relevant insurance policies.
RequirementsSkills and Qualifications
  • Organizational Skills: Ability to manage multiple tasks and priorities across departments.
  • Communication: Strong written and verbal communication skills for liaising with clients, vendors, and internal teams.
  • Technical Proficiency: Comfortable using tools like CRM software, accounting platforms, Excel, and project management tools (e.g., Monday.com).
  • Attention to Detail: Ensures accuracy in documents, schedules, and customer interactions.
  • Proactive Problem Solving: Identifies challenges and proposes solutions promptly.
  • Team Player: Works effectively across departments and fosters collaboration.
