Job Summary:
We are seeking a highly skilled and experienced Administrative Assistant to join our team at Julie Rose Recruitment Limited. As a key member of our administrative team, you will provide exceptional support to our Director and contribute to the smooth operation of our office.
Key Responsibilities:
- Maintain a high level of awareness of the Director's workload, priorities, and commitments, anticipating actions and requirements on their behalf.
- Oversee the Director's diary, scheduling meetings both internally and externally, and ensuring seamless communication with stakeholders.
- Manage CMap figures and invoice schedules in accordance with the invoicing tracker, ensuring accuracy and timeliness.
- Create projects on CMap and oversee the admin team and reception team, ensuring reception duties are fulfilled.
- Analyze reports on CMap to identify areas of concern and chase relevant individuals for necessary information.
- Coordinate new starter information with HR and marketing, ensuring a smooth onboarding process.
- Liaise with directors and senior teams to facilitate effective communication and collaboration.
- Send submissions trackers to the CDM team with relevant projects and ensure all invoicing is sent to the Director for authorization and updating CMap accordingly.
- Produce presentations on PowerPoint for department and client meetings.
- Organize meetings, events, social events, senior team meetings, department meetings, and admin meetings, creating meeting agendas for both internal and external meetings.
Requirements:
- Strong organizational skills, with experience in day-to-day diary keeping and administrative duties.
- Excellent communication skills and ability to liaise at all levels.
- Excellent IT skills and proficiency across all Microsoft software, particularly Excel (formulae), Outlook, and Word.
- Strong attention to detail and time management.
- High level of personal integrity and a responsible attitude to handling confidential information.
