We are seeking a highly organized and proactive Resource Coordinator to join our team at Spring Studios Srl. As a key point of contact for resource requests, you will play a pivotal role in ensuring the seamless flow of projects through the business.
Key Responsibilities- Work closely with the Creative Services Director, ECD, Head of Project Management, and Account and Project Manager to input all resource bookings into our scheduling tool.
- Liaise daily with individual Creatives to understand workload and capacity and support prioritization.
- Proactively update and communicate changes in work requested or allocation of briefs to creatives as needed.
- Support resourcing across the business as needed, including Strategy, GCDs, CDs, ADs, Copywriters, Designers, Retouchers, Editors, and CGI Artists.
- Become an expert user of the platform used for resourcing, timesheets, and reporting.
- Provide administrative support as required to the CSD, ECD, and 'Heads of' roles.
- Facilitate timesheet compliance by reminding the team to ensure timesheets are completed accurately, weekly, across the business.
- Run weekly and monthly reports on timesheets and utilization.
- Run the Creative Services inbox, answering any queries and escalating if needed.
- Work into existing processes and be willing to support the creation of and trial new processes with the CSD.
- Resource administration for freelance hires, handling paperwork accordingly, ensuring processes are followed.
- Managing start and end dates appropriately with HR and IT.
- Manage the invoicing process.
- Be the main point of contact for freelance booking and invoice queries.
- Become an expert user of the freelance booking tool.
- Support finding new freelancers and expanding the freelance roster as needed.
- Problem solver with the ability to juggle multiple tasks simultaneously.
- Effective communicator and proactive flagger of issues in advance.
- Good judgment, highly organized, and methodical.
- Approachable and friendly towards all colleagues.
