Oxford Health NHS Foundation Trust is seeking a skilled Performance & Administration Manager to join their Chiltern Adult Mental Health team. This fixed-term contract role requires a candidate who can handle both administrative and performance-focused tasks with ease. The ideal candidate will work closely with the Team Manager to ensure the team meets performance targets, processing data, analyzing results, and communicating with individual clinicians as needed. Additionally, the successful candidate will be responsible for the overall coordination of the administrative function of the team, including managing and supervising other administrative staff.

This is a part-time role with flexible options, including the possibility of working from home. The successful candidate will be an expert in performance information and will develop relationships across the divisional services to ensure performance data feeds into the directorate performance framework. They will also be responsible for exception reporting, communicating key messages to team managers on risk areas, and acting as a central point and expert for performance-related queries.

The successful candidate will present information to various audiences, drawing conclusions and implications from results analysis data. They will also support team managers in making informed decisions. This role requires the successful candidate to maintain confidentiality and security of patient data in compliance with the Data Protection Act and ensure confidentiality of staff, patients, and carers is maintained in line with Trust policy.

Key Responsibilities:

  1. Ensure comprehensive, efficient, and effective secretarial and administrative support is provided to the OACMHT Team Manager and all team members.
  2. Line manage the secretarial teams through regular individual supervision and team meetings, annual personal development reviews, and ensuring mandatory training is undertaken.
  3. Support the OACMHT Team Manager with health and safety, including health and safety audits, risk assessments, and reporting incidents.
  4. Manage Service User clinical records keeping systems and act as lead on implementing any Trust system changes.
  5. Support the OACMHT Team Manager in achieving Trust targets on data quality by reviewing reports and monitoring the timely entry and quality of data input.
  6. Be a central point of communication for the OACMHT Team Manager, using initiative to deal with phone calls and emails, and carry out ad hoc tasks as requested.
  7. Responsible for producing, analyzing, and presenting performance and business reports for the team.
  8. Develop relationships across the divisional services to ensure performance information feeds into the directorate performance framework.
  9. Responsible for exception reporting and communicating key messages to team managers on risk areas.
  10. Act as a central point and expert for performance-related queries and information.
  11. Present information to various audiences, drawing conclusions and implications from results analysis data.
  12. Maintain confidentiality and security of patient data in compliance with the Data Protection Act.

  14. Attend mandatory training courses as required.
