Job Summary:

RGS Recruitment is seeking an experienced Administrative Team Lead to join our client's Dispute Resolution Department. As a key member of the team, you will provide administrative support to the Head of Department and ensure the smooth operation of the department's administrative functions.

Key Responsibilities:

  • Meeting Coordination: Prepare agendas, minutes, and data for departmental meetings, ensuring all necessary information is accurately recorded and disseminated.
  • Diary Management: Schedule appointments and meetings for the Head of Department, ensuring their time is utilized efficiently.
  • Administrative Support: Provide administrative assistance with processing complaints, preparing WIP sheets, and gathering billing information for the billing cycle.
  • Liaison with Accounts: Collaborate with the Accounts team to ensure accurate forecasting and billing data is provided.
  • Business Development: Lead departmental business development meetings, provide feedback to the Head of Department and Business Relationships Manager, and ensure the BD plan is progressed.
  • File Management: Work with support staff to ensure files are actively closed and archived, maintaining a high level of organization and efficiency.
  • Project Implementation: Assist the Head of Department in implementing department-wide projects and initiatives, conducting audits of information held on internal systems, and identifying areas for improvement.
  • General Support: Provide general administrative support to the Head of Department and Dispute Resolution team as required.

Requirements:

  • Strong Team Player: Demonstrate exceptional attention to detail, effective organizational skills, and a proactive approach to tasks.
  • Previous Experience: Previous experience in a similar role is highly desirable, with a full and thorough understanding of department processes and the ability to identify improvements to eradicate inefficiencies.
