Key Responsibilities

The successful candidate will be responsible for providing administrative support to the operational manager and leads, ensuring the smooth operation of the Out of Hours Service. This will include setting and maintaining monthly team rotas, planning and referral process standards through regular monitoring, and providing data analysis and monthly reporting.

Additionally, the role will involve developing the service to ensure accuracy of reporting, including working with Corporate Services to identify areas of under-recording of clinical activity and working within the teams to improve recording and data quality. This may include working with key internal colleagues to develop new monitoring dashboards via PowerBi.

As a key member of the team, the successful candidate will play a significant role in developing a robust and strong cohesive quality and performance framework, providing support to colleagues to ensure consistency and equity of provision, and ensuring the team/service and individual staff members are compliant in all areas of performance in line with Trust expectations.

Main Duties

As team administrator, the successful candidate will request information and activity reports that are required on behalf of the General Manager, Operational Managers & Leads, including call handling statistics, data timeliness, data quality, contract monitoring reports, waiting times, rescheduled and cancelled visits etc.

Other duties will include providing a central point of contact to respond to/resolve any queries on behalf of General Manager and Operational Managers/Leads where appropriate in relation to all outcome measures, planning monthly rotas for clinical staff and ensuring appropriate bank cover is obtained where required, and processing staff change forms and relevant letters; data amendment forms; termination forms and general HR information.
