Senior Administrative Coordinator

As a Senior Administrative Coordinator, you will provide advanced, diversified, and confidential administrative support to members of the International Leadership Team. Your key responsibilities will include handling a wide variety of situations involving administrative office functions, relieving ILT members of all administrative detail, and performing duties in a highly confidential and professional manner.
Key Responsibilities
* Handles multiple tasks simultaneously in a fast-paced environment, anticipating and manipulating outcomes for continuous improvement.
* Plans and coordinates complex administrative assignments and special projects within and/or across functional areas, conducts research, gathers, organizes, assesses information, and prepares recommendations.
* Manages an extremely active calendar of appointments, prioritizes meeting requests, and handles conflicts or scheduling changes proactively.
* Maintains and updates administrative records, processes and tracks expense information related to leader/department activities.
* Prepares routine and non-routine correspondence, reports, material for presentations, and other documents as appropriate.
* Coordinates international business townhalls, bulletins, newsletters, presentations, and other documentations/meetings as required.
* Schedules travel arrangements, both international and domestic, meetings, and related setup arrangements.
* Screens telephone calls, visitors, and correspondence of a highly critical business nature, resolves routine and complex inquiries as appropriate.
* Supports the preparation of quarter-end materials.
* Manages executive team events, regular meetings, activities, and projects, attends and minutes meetings as required.
* Serves as a trusted resource and confidant to executive(s) and their teams.
* Acts as a point of contact for high-profile visitors, helping to prepare agendas.
* Works with highly confidential information.
* Operates office equipment, software, and mobile tools, supporting the executive(s) where required.
* Works closely and effectively with Global Executive Assistants, providing backup and coverage as needed for LT members.
Requirements
* 5-7 years of administrative support experience.
* 3+ years' experience supporting senior leadership positions.
* Global experience working across time zones and different cultures.
* Excellent organizational, time management, and decision-making skills.
* Exceptional interpersonal skills, written, and verbal communication skills.
* Strong IT skills, proficient in Word, Excel, and PowerPoint.
* Proven expertise in handling detailed work in an independent, professional, and confidential manner.
* Ability to handle multiple assignments simultaneously in time-critical situations with an ability to prioritize work.
* Ability to be flexible in conducting work activities under continually changing schedules, business conditions, and priorities.
* Ability to support multiple senior executives.
* Ability and willingness to travel as needed to achieve business objectives.
* Ability to demonstrate high levels of integrity, influence, and serve as a trusted confidant.
* Creativity and ability to set up and improve processes.
* Calm under pressure, patient, and resilient.
