About the Position

Hawthorn Medical Centre in Paulton seeks an organized and detail-oriented Administrative Support professional to join its dynamic team.

The successful candidate will work approximately 30 hours per week, covering shifts from 8am to 6pm, Monday to Friday. Additional flexibility is required for overtime to cover absences due to sickness or holidays.

Main Responsibilities
  1. To serve as the primary point of contact for patients, doctors, managers, and other team members via phone and face-to-face interactions.
  2. Maintain a welcoming and productive working environment, allowing doctors to focus on their duties while knowing administrative tasks are managed efficiently.
  3. Operate the computerized appointment system according to established protocols.
  4. Handle information exchange through various channels, including face-to-face, phone, writing, or electronic communication, ensuring timely message delivery to the relevant individual.
  5. Enter home visit requests into the practice's computer system, retrieve summary printouts, and notify the duty doctor of urgent matters.
  6. Explain practice procedures and registration requirements to new patients and enroll them in the practice's computer system.
  7. Verify that necessary procedures and forms are completed for temporary medical coverage.
  8. Manage stationery supplies for doctors and reception staff, replenishing stock as necessary.
  9. Promptly transfer responsibilities during shift changes to maintain continuity.
  10. Ensure the office and reception areas are tidy and safe, reporting any issues to the Senior Receptionist or Practice Manager.
  11. Be prepared to provide holiday and sick cover as needed.
  12. Engage in internal and external training to enhance relevant skills for this role.
Required Skills and Qualifications

This position demands a solid understanding of administration and customer service principles. The ideal candidate will possess exceptional communication and interpersonal skills, work effectively independently, and exhibit adaptability in a fast-paced environment.

Compensation and Benefits

£25,000 - £28,000 per annum (dependent on experience)
