Reed is seeking a highly organized and detail-oriented Fleet Administrator to join our dynamic team. As a key member of our operations team, you will play a pivotal role in ensuring the smooth running of our fleet operations.

Key Responsibilities:
  • Fleet Management:
    • Hire vehicles for new starters and specific job needs, ensuring compliance with company policies and procedures.
    • Schedule and manage vehicle maintenance, including MOTs, repairs, and servicing, to maintain a safe and reliable fleet.
    • Log HGV requirements and ensure weekly inspections are completed, adhering to regulatory standards.
    • Monitor vehicle trackers to maintain safety checklists and ensure drivers are aware of any issues.
  • Training Coordination:
    • Monitor and update the training matrix, booking renewals before expiry to ensure compliance with regulatory requirements.
    • Coordinate new training for client contracts, ensuring all necessary documentation is completed and filed accurately.
    • Oversee new starter onboarding, including induction, training, IT setup, and PPE, to ensure a seamless transition into the role.
    • Ensure all certificates are saved and logged accurately, maintaining a comprehensive record of employee training.
  • Additional Duties:
    • Book hotels for staff, handle credit card payments, raise purchase orders, and assist with supplier invoice queries, providing administrative support to the team.
Requirements:
  • Experience: Previous experience in a similar role, with a strong understanding of fleet management principles and practices.
  • Skills: Proficiency in Microsoft Office (Outlook, Excel, etc.), excellent communication, and high organizational skills.
  • Attributes: Diligent, highly organized, and a great communicator, with a passion for delivering exceptional results.
