About the Role

We are seeking a highly organized and detail-oriented individual to join our Property & Workplace team in London as a Business Administration Apprentice. As a key member of our team, you will provide administrative support to our Property & Workplace teams, working towards the successful completion of a Level 3 Business Administration apprenticeship.

Key Responsibilities
  • Provide administrative support to the Property & Workplace teams, including filing, scheduling, data entry, and finance support.
  • Deal with queries and requests from internal and external clients, and visitors at all levels.
  • Assist with incoming and outgoing post, DX and courier deliveries.
  • Manage records and archives, ensuring all documentation is up-to-date and compliant with company policies.
  • Coordinate the distribution of external and internal deliveries, ensuring timely and efficient delivery.
  • Engage with suppliers to maintain stock levels within the office and department.
  • Produce high-quality hard copy documents in various sizes, using a range of applications.
  • Scan documents for distribution or storage, adhering to the company's e-filing policy.
  • Assist with meeting room bookings, including updating the system, catering, IT requirements, and setting up video conference facilities and WebEx meetings.
  • Create and amend documents within the company's house style guidelines.
  • Open matters in the company's document management system and file documents according to agreed protocols.
  • Assist with event organization and undertake ad-hoc departmental duties as required.
Requirements
  • Good level of IT knowledge, including Microsoft Office Suite, with an understanding of file structures and a wide range of applications.
  • Confident and able to build trust and rapport to develop effective relationships.
  • Able to handle multiple priorities, working to sometimes conflicting timescales in a fast-paced and challenging environment.
  • Remains calm under pressure.
  • Focus on continued personal development and ensuring all training requirements are up-to-date.
  • Polite, professional, and friendly.
  • Good communicator - both written and verbally.
  • Customer service focused.
  • Enthusiastic with a 'can-do' attitude.
