We are seeking a highly organized and detail-oriented individual to join our Property & Workplace team in London as a Business Administration Apprentice. As a key member of our team, you will provide administrative support to our Property & Workplace teams, working towards the successful completion of a Level 3 Business Administration apprenticeship.
Key Responsibilities- Provide administrative support to the Property & Workplace teams, including filing, scheduling, data entry, and finance support.
- Deal with queries and requests from internal and external clients, and visitors at all levels.
- Assist with incoming and outgoing post, DX and courier deliveries.
- Manage records and archives, ensuring all documentation is up-to-date and compliant with company policies.
- Coordinate the distribution of external and internal deliveries, ensuring timely and efficient delivery.
- Engage with suppliers to maintain stock levels within the office and department.
- Produce high-quality hard copy documents in various sizes, using a range of applications.
- Scan documents for distribution or storage, adhering to the company's e-filing policy.
- Assist with meeting room bookings, including updating the system, catering, IT requirements, and setting up video conference facilities and WebEx meetings.
- Create and amend documents within the company's house style guidelines.
- Open matters in the company's document management system and file documents according to agreed protocols.
- Assist with event organization and undertake ad-hoc departmental duties as required.
- Good level of IT knowledge, including Microsoft Office Suite, with an understanding of file structures and a wide range of applications.
- Confident and able to build trust and rapport to develop effective relationships.
- Able to handle multiple priorities, working to sometimes conflicting timescales in a fast-paced and challenging environment.
- Remains calm under pressure.
- Focus on continued personal development and ensuring all training requirements are up-to-date.
