Key Responsibilities:

  • Provide administrative support to our clinical staff, including typing of client records, letters and reports.
  • Open and log mail, both incoming and outgoing.
  • Maintain diary systems, including organizing appointments for staff members.
  • Filing and maintenance of client records.
  • Answer and deal with telephone calls and queries.
  • Assist with the creation of databases and spreadsheets as required.
  • Maintain stock control and ordering of stationery supplies.
  • Prepare and maintain staff rotas.
  • Process sensitive and confidential information.
  • Type and format reports and correspondence as required.
  • Establish and maintain effective relationships with colleagues and all levels of management.
  • Analyse problems and situations quickly and effectively, taking appropriate action.
  • Undertake staff training.
  • Cover ad hoc tasks and projects as instructed by senior management.
  • Review procedures to implement improvements, ensuring efficiency and effectiveness.

Requirements:

  • At least 2 years' experience working in a busy office environment.
  • Effective and clear communication skills.
  • Excellent typing skills, with a strong attention to detail.
  • Good knowledge and use of IT, including Word Processing, Excel and Databases.
  • Excellent time management skills.
  • Ability to set own priorities, targets and achieve goals.
  • Proactive, flexible and self-motivated.
  • Good team skills.
