Business Operations Assistant

Role Overview
We are seeking a highly organized Commercial Assistant to join our team at VINCI Facilities. The ideal candidate will have experience in commercial and administration processes, with a strong focus on ensuring successful project outcomes.
Responsibilities
•Maintaining and updating commercial trackers, ensuring accurate and timely data entry.
•Providing general support to the commercial and operational teams, utilizing strong administration skills.
•Ordering materials for site, managing inventory levels and ensuring efficient procurement processes.
•Managing purchase card administration, including processing invoices and receipts.
•Entering costs into the CAFM system, maintaining accurate financial records.
•Preparing quotes for clients, updating registers and reporting on project progress.
•Validating and paying sub-contractor invoices, ensuring timely payments.
•Monitoring the generic email inbox, assigning emails to relevant owners and ensuring prompt responses.
Essential Qualifications/Skills
What we are looking for:
•Experience in COINS (desirable)
•Previous experience in buying/purchasing/invoicing
•Strong Administration skills
•Commercial Assistant experience (1-year minimum)
•Facilities Management experience
