Administrative Support Specialist

Our client, Ideal Personnel & Recruitment Solutions Limited, is seeking a highly organized and customer-focused Receptionist/Administrator to join their team on a full-time basis. The ideal candidate will possess excellent communication skills, a strong work ethic, and the ability to multitask with ease.
The Role- Greet clients and visitors face-to-face, providing support and ensuring colleagues are informed promptly to prevent clients from waiting in reception.
- Answer all telephone calls via Microsoft Teams in a timely and courteous manner, directing calls to their destination without delay to provide an exceptional experience for clients and visitors.
- Manage the enquiries email inbox, responding to queries in a timely fashion and passing them on to the relevant person as soon as possible, adhering to service commitments.
- Maintain meeting rooms and the general reception area, replenishing items and ensuring refreshments are available at all times while keeping the space clean and tidy.
- Perform general administrative tasks as required by your manager.
- Monitor visitors/deliveries, alerting the Branch Manager of any concerns.
- Enforce high security standards by monitoring visitors, site engineers, deliveries, etc.
- Record accidents accurately in the 'Accident Book' and inform the Facilities Manager of any incidents that occur during working hours.
- Experience working as a receptionist in a customer-facing role with administration experience.
- Good customer service experience, with a willingness to go above and beyond to deliver exceptional service.
- Familiarity with IT and telephony systems, particularly Microsoft Teams.
- Ability to attend the Milton Keynes office occasionally.
- Holding a full, clean UK driving license and having own transport.
