Job Summary

We are seeking a highly organized and detail-oriented Administrative Officer/Receptionist to join our team at the NHS. The successful candidate will provide exceptional customer service to patients and visitors, ensuring a smooth and efficient experience.

Key Responsibilities
  • Reception Services: Provide a friendly and welcoming environment for patients and visitors, responding to queries and concerns in a professional and courteous manner.
  • Document Management: Process referral letters, retrieve medical records, and prepare notes in a timely and accurate manner, adhering to Trust Policies and guidelines.
  • Scheduling: Make appointments and manage clinic formats using the Patient Administration System, ensuring seamless communication with patients and healthcare professionals.
  • Correspondence: Handle internal and external correspondence, responding promptly and professionally to emails and phone calls.
  • Record Keeping: Accurately record patient information and attendance on the Patient Administration System, adhering to Trust Policy and guidelines.
  • Quality Monitoring: Collect and analyze data to monitor the quality of service provided, identifying areas for improvement and contributing to the Trust's Performance Management Framework.
  • Coverage: Provide suitable cover for other clerical staff in cases of absences, as delegated by the Outpatient Supervisor/Assistant Patient Services Co-ordinator.
Requirements
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Strong organizational and time management skills.
  • Proficiency in using the Patient Administration System and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
