We are seeking a full-time permanent Contract Support Coordinator to join our team for one of our prestigious clients. The successful candidate will work closely with colleagues across all teams to ensure consistency of approach and service delivery against strict service level agreements and key performance indicators.

The job holder will be responsible for delivering day-to-day and strategic administrative duties and activities, as required to support the contract, under the direction of the Account Manager, Technical Manager, and regional/site leads. The Contract Support Coordinator will join us at our client site in Swindon, working Monday to Friday, 8:00am to 5:00pm, 40 hours a week, at a salary from £25,000 to £28,000 per annum.

Key Responsibilities:

  • Undertake all RWE Helpdesk activities, scheduling jobs, ensuring effective coordination from start to finish using our CAFM system (QFM), including associated helpdesk or administrative tasks, with customer service excellence at the centre of all activities.
  • Participate in handling Helpdesk calls and mailbox management, answering callers, email requests, or enquiries accordingly and in line with contractual arrangements.
  • Log client requests on the CAFM system (QFM), ensuring accuracy in logged detail, resource assignment, and SLA priority.
  • Liaise with engineers, soft service teams, and contractors to schedule work, chase updates, work records, and reports to update QFM records accordingly, accurately, and in a timely manner.
  • Process orders for materials and equipment as required.
  • Manage, prepare, and submit quotations within required SLA on behalf of the FM team.
  • Assist the Contract Support Manager in collating client and internal reports from QFM for weekly, monthly, and quarterly meetings.
  • Process purchase orders on WAP, raising purchase orders, and completing accurate goods receipting of invoices as required.
  • Weekly and monthly reporting on reactive, statutory, and mandatory compliance of PPMs to the Contract Support Manager to demonstrate productivity and progression of open jobs to point of completion for the site/region assigned.
  • Complete any other helpdesk-related tasks to support our client and wider FM team, as required.
  • Ensure all documentation stored on Anabas Client SharePoint is administered and uploaded using agreed naming conventions, in the correctly assigned sub-folders.

The Contract Support Coordinator will coordinate and participate in all other administrative duties assigned, in order to support routine and strategic activities, as deemed required by the senior contract management team and instructed by the Contract Support Manager, without exception.

Requirements:

  • Demonstratable experience working within a similar role.
  • Ability to communicate professional, concise, and accurate information in written and verbal formats.
  • Able to competently use Microsoft Office packages, with experience of using a CAFM system desirable.
  • A willingness to challenge assumptions and proactively find new solutions working with colleagues.
  • A positive work ethic and ability to act as a team player.
