Job DescriptionOverview of the Role
This is an administrative position within the National Probation Service, requiring the successful candidate to provide support to staff and service users through efficient processes and effective administration.
Key Responsibilities
- Responsible for maintaining accurate offender and victim information on relevant databases.
- Ensure effective administration of referrals to and relationships between offender management, victims, interventions, service providers, and external agencies.
- Prepare, maintain, and collate case and other records, files, and management information, adhering to required standards.
- Receive and distribute information and communications in an appropriate manner.
- Provide cover for an effective and efficient reception and telephone enquiry service.
- Act as single point of contact within the unit for specialist areas of work as required.
- Deal fairly, effectively, and firmly with service users, some of whom may be in crisis, distress, or display inappropriate behavior.
- Make practical arrangements for the implementation of sentence plans.
- Carry out enforcement administration as required.
- Issue petty cash, vouchers, or warrants for travel costs, maintaining appropriate records.
- Organize the availability of equipment, materials, and facilities for case management activities.
- Report faulty equipment and materials to the manager and arrange for replacement or repair.
- Maintain systems to ensure effective use of general unit resources and make recommendations for improvement.
- Undertake specific Visor administration tasks in accordance with procedures.
- Attend meetings as required, providing support, and organizing agendas, taking and distributing notes, and action points.
- Ensure all activities are conducted in accordance with Health and Safety policies and procedures.
- Provide cover within the unit and to other units within the LDU and Division as needed.
- Carry out safeguarding children duties in accordance with NPS statutory responsibilities and agency policies.
- Demonstrate pro-social modeling skills by reinforcing pro-social behavior and challenging anti-social behavior.
