Job Description

Job Title: Global Trade Operations Coordinator

Job Summary:

We are seeking a highly skilled and experienced Global Trade Operations Coordinator to join our team at DHL Global Forwarding (UK) Limited. As a key member of our operations team, you will be responsible for ensuring the smooth execution of our export logistics operations.

Key Responsibilities:

  • Adhere to Customs Compliance procedures and documentation, ensuring all necessary paperwork is completed accurately and on time.
  • Build and maintain strong relationships with our customers, providing exceptional service and support to meet their needs.
  • Complete retrospective Customs compliance actions, ensuring all necessary corrections are made and documented.
  • Manage and coordinate Customs entry for Specialist License movements, ensuring all necessary documentation is completed and submitted on time.
  • Ensure the Job File is fully and accurately completed, reflecting all commercially relevant information and services provided.
  • Liaise directly with Carriers and Handling Agents to resolve exceptions and discrepancies as they arise.
  • Liaise directly with DGF departments on shipment planning and coordination, ensuring seamless execution of our export logistics operations.
  • Liaise directly with DGF Transport & Warehouse teams on shipment planning and coordination, ensuring all necessary arrangements are made.
  • Liaise directly with overseas offices on shipment planning and coordination, ensuring all necessary arrangements are made.
  • Maintain and update DfT compliance, ensuring all necessary documentation is completed and submitted on time.
  • Maintain mandatory milestones and remarks through Cargowise, ensuring all necessary information is accurately recorded.
  • Manage allocated customers against agreed SOP, ensuring all necessary service levels are met.
  • Use Cargowise to create, manage and maintain Airfreight shipments, ensuring all necessary documentation is completed and submitted on time.
  • Perform any other duties as required, ensuring the smooth execution of our export logistics operations.
  • Support the measurement of Key Performance Indicators, ensuring all necessary data is accurately recorded and reported.
  • Contribute to the First Choice continuous improvement program, identifying areas for improvement and implementing changes to enhance our operations.
  • Participate in the Weekly Team briefing sessions, ensuring all necessary information is shared and discussed.
  • Complete all statutory and mandatory training, ensuring all necessary certifications are maintained.

Person Specification:

  • Experience within the Freight Forwarding Industry, with a strong understanding of Customs Compliance procedures and documentation.
  • 5 GCSEs including Maths and English at Grade C or above – or equivalent desirable.
  • Experience of HMRC procedures, with a strong understanding of Customs Compliance procedures and documentation.
  • Commercial awareness, with a strong understanding of the Freight Forwarding Industry and its operations.
  • Clear and concise communication skills (written and spoken), with the ability to build and maintain strong relationships with customers and colleagues.
  • Ability to follow processes, with a strong attention to detail and ability to ensure all necessary documentation is completed accurately and on time.
  • Ability to support a culture of continuous improvement, identifying areas for improvement and implementing changes to enhance our operations.
  • Inter-personal skills - Influencing, communication, relationship management, cultural awareness and ability to work across teams.
  • Knowledge of Freight Forwarding industry: Exports, exports and related processes.
