Job Description

Salary: £60,000 - 80,000 per annum

This is a key role within the Natixis London Branch that focuses on the operational aspects of facilities management.

Responsibilities
  • Schedule and coordinate regular facility inspections, maintenance, and repairs to ensure compliance with health and safety regulations.
  • Manage subcontractor service report sheets, including chasing work completed, identifying additional or remedial works, requesting quotes, raising purchase orders, scheduling works, receipt of completed service records, and close out of works.
  • Oversee the Workplace helpdesk, including receiving and resolving Workplace-related requests and issues.
  • Collaborate with supply chain partners, contractors, and service providers to obtain quotes and oversee work performed.
  • Manage CCTV and other security systems, with prompt reporting and escalation of issues as required.
  • Assist with H&S activities, such as coordination of First Aiders and Fire Marshals.
  • Review Desk Screen Equipment (DSE) self-assessments and ensure remedial actions are documented and closed out.
  • Evidence statutory compliance, British Standards, and ACOP by categorizing and making documentation available to support internal and external audits/reviews.
  • Contribute to policy and procedure reviews, offering valuable input and feedback.
  • Update departmental records/information on central portals, such as Intranet.
  • Update departmental records, such as floor plans, asset registers, and archiving inventory.
Requirements
  • Proven experience in facilities management/Workplace, preferably in a financial services environment.
  • Hard services experience, specifying and coordinating mechanical and electrical works.
  • Experience with PPM and scheduling of works.
  • Understanding of HVAC systems, including FCU and Moduline.
  • Familiarity with statutory compliance, British Standards, and ACOP related to Workplace and Facilities Management.
  • Ideal candidate should have experience with Building Management Systems (BMS) and CAFM software.
  • Able to review and understand Risk Assessments and Method Statements.
  • Customer-facing skills, dealing with colleagues, suppliers, and contractors.
  • Physically able to undertake lifting and manual handling tasks.
  • Strong numeracy and literacy skills.
  • Proficiency in PowerBI.
