About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to our Contract Managers in the smooth and effective administration of contracts. The successful candidate will be responsible for assisting with the raising of purchase/subcontractor orders, producing operational and monthly reports, and controlling the implementation of our Integrated Management System (IMS).

Key Responsibilities
  • Assist with the preparation of supporting documentation for final invoicing
  • Collate and develop monthly KPI reports on contract activities
  • Compile and distribute data relating to utilities, maintenance work, operational costs, and invoicing
  • Assist with the production and analysis of financial reports
  • Perform general typing and filing duties as required
  • Carry out all reasonable tasks requested by the Operations Manager/Contract Managers
  • Compile engineers' timesheets and input relevant information onto the Timesheet Database System
  • Respond to clients' helpdesk requests
  • Assist with emergency requests and administration cover from additional sites
Requirements
  • Good communication skills
  • Five GCSE qualifications at level A to C, including Maths and English
  • Good IT skills, including Word, Excel, PowerPoint, Access, and Works
  • Good telephone manner
  • Good timekeeper
  • Able to work as part of a larger team
  • Conscientious
  • Able to work under pressure and to defined deadlines
  • Basic understanding of Quality Assurance and service delivery
