Administrative Support Officer

Job Summary:
This comprehensive administrative support role will provide vital assistance to the Musculoskeletal (MSK) Physiotherapy service across Warrington and Halton services.
Main Responsibilities:
- Manage telephone enquiries from the public, staff, and other healthcare services in a professional and courteous manner.
- Support MSK Physiotherapy clinics and classes by collating initial referrals and providing accurate reports.
- Assist with the organization of appointments and workload management to ensure efficient service delivery.
- Collaborate closely with clerical colleagues to achieve shared goals and objectives.
- Order and maintain stock levels to meet the needs of the service.
- Contribute to the development of the service and participate in quality improvement initiatives.
- Deal with difficult telephone calls in a tactful and sensitive manner, taking accurate messages and escalating as necessary.
- Develop and maintain good working relationships with all members of the Physiotherapy team.
- Receive and log incoming referrals, ensuring they have been triaged by a senior member of the Physiotherapy team.
- Book patient appointments and schedule clinics efficiently.
- Undertake general photocopying, distribution, and mail duties as required.
- Produce reports and relevant documents as needed, distributing them appropriately.
- Monitor and order items to replenish stock levels.
- Input patient information onto the computerized patient system.
- Manage secure archiving of documentation and disposal.
- Filing and maintaining copies of departmental records.
- Collate audit information for the manager as required.
