Job Title: Artist Coordinator

Job Summary: We are seeking an experienced Artist Coordinator to join our team at White Cube. The successful candidate will be responsible for managing a group of artists, acting as a point of contact for internal enquiries, and maintaining accurate records of artist information.

Key Responsibilities:

  1. Manage artist schedules, ensuring timely updates and accurate tracking of upcoming events and press.
  2. Maintain and manage inventory databases, ensuring pricing, status, image, strategy, loans, and consignments are up-to-date and aligned with studio records.
  3. Communicate effectively with internal artist email groups regarding incoming work, returns, technical queries, and other miscellaneous information.
  4. Oversee the creation of presentation materials for Sales and Artist Liaisons ahead of trips or meetings relating to assigned artists.
  5. Coordinate sales packs in advance of internal and external exhibitions for designated artists.
  6. Manage all communication with Sales regarding exhibition details, pricing, and availability of works in advance of exhibitions.
  7. Responsible for drafting précis for incoming artworks and drafting offer letters for exhibitions.
  8. Create and manage weekly exhibition sales reports for Directors.
  9. Liaise monthly with Accounts to review artist statements and flag any queries.
  10. Field inventory stock queries, such as old work, prices, and availability of works.
  11. Facilitate conversations between Sales and Artist Liaisons regarding new works for Art Fairs and communicate regularly with the Art Fair Coordinator.
  12. Communicate art fair participation with studios and provide images of work on stand when necessary.
  13. Communicate sales made at fairs to artist studios as requested by Sales Liaison.
  14. Review and analyze data provided in quarterly reports with Artist and Sales Liaisons, preparing presentation documents for Artist Strategy meetings.
  15. Coordinate with Sales Liaison and/or Artist Liaison to conduct annual price reviews, ensuring the Inventory is updated and all changes are communicated to relevant teams.
  16. Liaise with studios on specific client requests for works and communicate timeline and track progress of discussions effectively.
  17. Create and maintain internal sales reports detailing holds, sales, discounts, fabrication costs, and exhibition costs when required.
  18. Liaise with Registrar regarding consignment paperwork and transport of artworks from studio.
  19. Produce accurate sales reports for artists as required by their studios and Artist Liaison/Sales Liaison.
  20. Coordinate and attend quarterly check-ins with Sales and Artist Liaisons, providing action points from Artist Strategy Meetings for review.
  21. Manage and monitor physical stock held in managed sites and coordinate regular stock reviews and returns with Artist Liaison, Sales Liaison, and Registrar.
  22. Obtain sign-off on all artist-related costs from Director, Curatorial Business Management.
  23. Manage formal communication with studios for upcoming auction lots and auction results, in consultation with Sales Liaison.
  24. Set up studio visits for Sales department and client for assigned artists as and when appropriate.
  25. Prepare itineraries and welcome packs for visiting artists and artists' assistants coming to London only.
  26. Book flights and accommodation for artists/artists' assistants as and when necessary, in line with agreed budgets.
  27. Coordinate gifts for artists (birthdays, Christmas, etc.).
  28. Attend artist events on behalf of the gallery/Artist Liaison/Sales Liaison if requested.

Departmental Involvement:

  1. Attend weekly Sales and Artist Liaison meetings as requested.
  2. Deal with other ad-hoc duties as allocated by Artist Liaison/Sales Liaison/Director, Curatorial Business Management.
