Job Title: Operations Administrator - Senior Process Associate

Job Summary:

We are seeking an experienced Operations Administrator to join our team in Glasgow. As an Operations Administrator, you will be responsible for processing all operational tasks, including mail activities, money in/out, plan servicing, trading, distribution, and corporate actions, within set service level agreements.

Key Responsibilities:
  • Process daily operational tasks in line with service tables and regulatory requirements.
  • Complete workload accurately and efficiently, meeting SLA targets.
  • Raise and respond to client queries and issues.
  • Take ownership of actions and ensure accurate completion of tasks.
  • Assist with non-standard client requests.
  • Highlight concerns or risks of service failure to Team Leader.
  • Work in full compliance with established processes.
  • Have client focus on all activities.
  • Assist in clearing transactional-related stock and cash breaks.
  • Escalate suspected transactional issues, failures, or potential losses to line manager.
  • Ensure timely corrective action of errors to minimize losses.
  • Report breaches and incidents, and implement preventative measures.
  • Support the resolution of incidents raised by providing information and evidence.
  • Liaise closely with other teams to ensure smooth business processes.
  • Participate in ad hoc projects as defined by Team Manager.
  • Participate in daily huddles and team meetings.
  • Support team and wider teams in resolving issues and incidents raised.
  • Support the Change team with changes and platform releases.
  • Identify areas for improvement within current processes.
  • Take ownership of own knowledge and development by having a Personal Development Plan in place.
  • Participate in regular review of written procedures and controls for existing and new processes.
Qualifications:
  • Desirable: Investment Operations Certificate (IOC) qualification or working towards.
  • Desirable: Experience and understanding of wealth management.
  • Desirable: Working in a multi-functional team.
  • Ability to effectively operate in a high-volume, service delivery environment.
  • Excellent client focus and relationship building.
  • Ability to work on time-critical tasks and manage multiple priorities.
  • Microsoft Office Suite.
  • Strong attention to detail.
  • Process improvement awareness.
  • Problem-solving.
  • Self-motivated and enthusiastic.
  • Resilient and adaptable to ongoing change.
