Job Summary

We are seeking a highly skilled and experienced Facilities Manager to join our team at JLL. As a Facilities Manager, you will be responsible for leading a team to ensure the management of day-to-day client activities for assigned property/facility and supporting the Account Lead by being the on-site key point of contact for key stakeholders and/or client.

Key Responsibilities

  • Overall responsibility of the local site(s)
  • Management of key M&E monthly/quarterly deliverables for their site
  • Ensuring site-specific statutory and PPM schedules are adhered to and reported to the Senior FM
  • Leadership and management of the Facilities team
  • Developing and sustaining a high-quality, well-motivated team
  • Building and maintaining an environment that supports teamwork, co-operation, and performance excellence within the team
  • Client/Stakeholder Management
  • Proactively engaging stakeholders to ensure that on-site client expectations are met
  • On-site key point of contact for Facilities in the client's premises
  • Vendor Management – Janitorial, Stationary, Courier services, Mail Rooms, Engineering, Catering consumables, Security arrangements
  • Attending monthly meetings with vendors to review service delivery, KPIs, monthly reporting requirements, portfolio changes communicated, and general feedback sessions to ensure they are providing services accordingly
  • Monthly meetings with JLL sourcing lead to ensure vendors are up to date on contractual changes, reviewing KPI % to ensure fee at risk is being reviewed and managed
  • Ensuring stationary stock levels are managed accordingly and within budget
  • Ensuring correct Business Units are being charged internally for courier services usage
  • Reporting to local stakeholders the courier volumes on a monthly basis
  • Tracking post room shipping volumes on a monthly basis
  • Tracking visitor volumes using Envoy on a weekly basis and reporting to the Senior FM
  • Finance Management/Cost Control/Profitability
  • Actively working to ensure that the site's financial operations are meeting or exceeding targets and control requirements
  • Ensuring financial processes are followed at all times
  • Health & Safety Management
  • Ensuring the provision of a safe working environment
  • Ensuring compliance with statutory regulations on fire, health, and safety standards
  • Site Operations Management
  • Recommending continuous quality improvement practices and implementing Industry Best Practice operations
  • Implementing building procedures and performance measures and ensuring they are maintained at all times
  • Ensuring all Critical Environment (CEM) requirements are met
  • Reviewing existing operations regularly to reduce costs and improve operational standards
  • Risk Management tracking
  • Ensuring a property risk management program, including audits, is implemented and maintained
  • Ensuring disaster recovery and business continuity plans are implemented and maintained
  • Ensuring escalation procedures and incident reporting procedures are implemented and in place
  • Assisting in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle's business conduct
  • Achieving Key Performance Indicators and Service Level Agreement

Requirements

We are looking for a Facilities Manager with:

  • Experience in facilities management, building, business, or other related fields
  • Excellent people skills and ability to interact with a wide range of client staff and demands
  • Knowledge of Occupational Safety requirements
  • Strong PC literacy and proven ability to manage daily activities using various systems
  • Demonstrated experience with continuous improvement initiatives (highly desirable)
  • Knowledge of vendor management for specialized services
  • Knowledge of critical facilities and an understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)
  • Proven capacity to understand and interpret commercial contracts
  • Budget management and financial analysis skills
