Job Title: Commercial Assistant Property Manager

Estimated Salary: $70,000/year

We are seeking a highly organized and detail-oriented Commercial Assistant Property Manager to join our team at ZipRecruiter. As a key member of our property management team, you will be responsible for supporting the Property Manager in the day-to-day implementation of policies and procedures that ensure well-managed and well-maintained properties.

Key Responsibilities:

  • Develop Positive Relationships: Foster positive relationships with tenants, vendors, and contractors to ensure seamless communication and collaboration.
  • Manage Accounts: Manage accounts payable/receivables for each property, including coding of invoices and entry into the accounting system.
  • Process Tenant Requests: Receive tenant calls and enter service requests into the work order system; dispatch building engineers to resolve issues promptly.
  • Prepare Documents: Prepare commencement notices and rent commencement letters as required.
  • Assist Bid Process: Assist Property Manager with the bid process of contracted services.
  • Collect Rent: Responsible for rent collections and ensuring timely payment from tenants.
  • Conduct Property Inspections: Conduct regular property inspections to ensure all physical aspects of the property are fully functional and maintained.
  • Prepare Annual CAM Billings: Prepare annual CAM (Common Area Maintenance) billings for tenants.
  • Manage Lease Administration: Manage all lease administration and rent roll accuracy to ensure compliance with company policies and regulations.
  • Review Reports: Review monthly variance reports, tenant ledgers, and aged-receivable detail to identify areas for improvement.

Requirements:

  • Previous Experience: Previous commercial property management experience is essential for this role.
  • Knowledge of Leases: Working knowledge of commercial office building leases is required.
  • Microsoft Office Suite: Strong working knowledge of Microsoft Office/Suite is necessary for effective communication and record-keeping.
  • Communication Skills: Excellent verbal and written communication skills are crucial for interacting with tenants, vendors, and colleagues.
  • Organizational Skills: Excellent organizational and time management skills are required to prioritize tasks and meet deadlines.
  • Attention to Detail: Strong attention to detail is necessary for accurate data entry and record-keeping.
  • Accounting Software: Experience with accounting software such as Yardi, MRI, or AppFolio is an asset.
