Job Summary

We are looking for a highly organized and communicative individual to assist with patient inquiries, appointments, and administrative tasks. The successful candidate will have excellent interpersonal skills, be able to work effectively in a team environment, and possess a strong attention to detail.

Key Responsibilities

  • Maintain and monitor the practice appointment system, ensuring efficient scheduling and minimizing wait times.
  • Process personal and telephone appointments, including internal and external requests.
  • Answer incoming phone calls, transferring calls or dealing with caller requests as necessary.
  • Signpost patients to the correct service or department.
  • Initiate contact with and respond to requests from patients, team members, and external agencies.
  • Read and update patient data on our electronic health record system.
  • Perform data entry tasks, including new and temporary registrations, and relevant patient information.
  • Input data into patient healthcare records as necessary.
  • Direct requests for information, such as SARs, insurance letters, and DVLA forms, to the administrative team.
  • Manage queries and resolve issues in an efficient and effective manner.
  • Maintain a clean and organized working area, adhering to our high standards of hygiene and safety.
  • Monitor and maintain the reception area and notice boards, ensuring they are up-to-date and accurate.
  • Support clinical staff with general tasks and administrative duties as requested.
  • Scan and attach patient-related documentation to their healthcare records, managing document workflow.
  • Process repeat prescriptions, ensuring accuracy and efficiency.
  • Check fridge temperature, handle vaccinations according to our cold chain policy, and handle patient samples.
  • Process referrals as required by our clinical team.
  • Process all posts and mail, ensuring timely delivery and accuracy.
  • Recall patients to support our Quality and Outcomes Framework (QOF) performance.
  • Register and deduct patients, pulling out and filing medical notes as necessary.

Secondary Responsibilities

  • Complete opening and closing procedures in accordance with our duty rota.
  • Inform staff who order stationery supplies and monitor stock levels.

Person Specification

We are seeking an individual with the following qualifications and skills:

  • GCSE level or equivalent education.
  • Experience working with the general public.
  • Excellent communication skills (written and oral).
  • Strong IT skills, including proficiency in Office and Outlook.
  • Effective time management and planning skills.
