Job Summary

Heathway Medical Centre is seeking an experienced and dynamic Reception Manager to lead our reception team in delivering outstanding patient care. The successful candidate will be responsible for managing the daily operations of the reception area, ensuring efficient workflow, and maintaining high standards of service. This role requires strong leadership skills, experience in a GP practice, and proficiency with the EMIS system. The position offers a competitive salary, professional growth opportunities, and a supportive work environment. Working hours are Monday to Friday, starting late morning and finishing at 18:30, excluding bank holidays.

Main Responsibilities

  • Leadership & Management: Oversee the day-to-day operations of the reception team, ensuring smooth workflows, excellent patient service, and high team morale.
  • Patient-Focused Care: Be the primary point of contact for patient inquiries, ensuring all patients are greeted and assisted with professionalism and care.
  • Appointment & Workflow Management: Expertly manage the appointment system, ensuring efficient patient flow and timely service.
  • Staff Development: Lead, train, and support the reception staff, fostering a culture of continuous improvement and teamwork.
  • IT & Admin Expertise: Utilize and oversee systems like EMIS, ensuring data accuracy and efficient processing of patient information.
  • Collaboration: Work closely with the Practice Manager, clinical teams, and external partners, ensuring all updates and processes are smoothly communicated and implemented.
  • Quality Control: Maintain high standards of patient service, managing feedback, and continuously improving procedures.

With incoming calls outsourced from 8:00am to 1:00pm daily, our reception team can focus on patients without distraction. Phones do not ring in the mornings in our practice. We're looking for a passionate, organized, and proactive Reception Manager who's ready to take on a pivotal role in leading our team.

Key Responsibilities:

Person Specification

Qualifications

Essential

  • Leadership Experience: A proven track record in a leadership role, ideally in a GP practice or healthcare setting.
  • GP Reception Experience: At least 3 years of experience as a GP receptionist, with a deep understanding of practice operations and patient care.
  • EMIS & IT Proficiency: Strong hands-on experience with the EMIS clinical system and other relevant IT systems.
  • People Skills: An approachable, calm, and reliable individual who thrives in a team environment and can maintain composure under pressure.

  • Flexibility: A willingness to cover shifts and adapt to changing schedules when necessary.
