Job Description:
Buro Happold seeks a skilled Reception Support Specialist to join its team. As a key member of the Front of House team, you will be responsible for managing front desk operations, handling incoming calls, greeting clients, and addressing inquiries with professionalism and courtesy.

Key Responsibilities:
  1. You will answer calls in a timely and professional manner, including taking messages and dealing with ad hoc queries/issues.
  2. Welcome guests and contractors to site; ensuring they adhere to the signing in procedures.
  3. Ensure Reception shared mailbox emails are being dealt with in a timely manner.
  4. Pre-register staff visiting London office.
  5. Identify areas for improvement within the FOH service, and put forward to FOH Lead.
  6. Understand the process for facilities call outs; and liaise with Facilities team to place breakdown calls as required including: lifts, fire panels, intruder panels, access systems.
  7. Record office metrics as required.
  8. Ensure FOH, client areas and cupboards are clear and tidy, carry out regular walk rounds.
  9. Manage the meeting room bookings for the large meeting rooms/event spaces; including ensuring facilities are booked for meeting room set ups.
  10. Liaise with Facilities team to highlight issues; and ensure calls related to FOH are closed out.
  11. Process train ticket requests, ensuring accuracy and highlighting any issues.
  12. Book local taxis as required.
  13. Manage incoming and outgoing post, parcels and couriers.
  14. Assist catering team when required.
  15. Assist with Right To Work checks for new starters.
  16. Manage the access card database and provide new starters with access cards.
  17. Assist with planning and coordinating office events.

Requirements:
  1. You will have previous Front of House experience, including managing a busy switchboard.
  2. Excellent computer and IT skills including Word, PowerPoint and experience using spreadsheets and databases.
  3. Excellent communication skills; including dealing with difficult customers.
  4. Confident, proactive character, with the ability to take the lead in challenging situations.
  5. Highly organised and able to problem solve.
