We are seeking a highly skilled and organized Medical Receptionist to join our team at Shay Lane Medical Centre. As a key member of our administrative staff, you will be responsible for providing exceptional patient care and support to our clinical team.
Main Responsibilities- Maintain and monitor the practice appointment system, ensuring seamless scheduling and rescheduling of clinics.
- Process personal, telephone, and e-requests for appointments, providing clear and concise communication to patients.
- Answer incoming phone calls, transferring calls or dealing with caller requests appropriately, and signpost patients to the correct service.
- Initiate contact with and respond to requests from patients, team members, and external agencies, demonstrating excellent problem-solving and analytical skills.
- Code clinical data in EMIS Web and Docman 10, and photocopy documentation as required.
- Data entry of new and temporary registrations and relevant patient information, ensuring accuracy and attention to detail.
- Direct requests for information, SARs, insurance/solicitors letters, and DVLA forms to the administration team, and manage queries in an efficient manner.
- Monitor and action the reception and prescription email inboxes, processing incoming repeat prescription requests and adhering to the practice's repeat prescription policy.
- Liaise with the practice pharmacist and doctors regarding prescription queries, and carry out clinical system searches as requested.
- Participate in audit as directed by the practice manager, and support administration staff during staff absences.
- Excellent communication skills (written and verbal), with a clear and polite telephone manner.
- Strong IT skills, with competence in Microsoft Office and Outlook.
- Effective time management, with the ability to work as a team member and autonomously.
- Good interpersonal skills, with the ability to problem-solve and analyze situations.
- Ability to follow policy and procedure, with high levels of integrity and loyalty.
- Sensitive and empathetic in distressing situations, with the ability to work under pressure.
- Flexibility to work outside of core office hours, with a Disclosure Barring Service (DBS) check.
