About the Role

We are seeking an experienced Administration Manager to support our busy Out of Hours service based in Uxbridge. As a key member of our team, you will be responsible for supervising the wider rota team, including rota administrators and operational assistants, to ensure all rotas are produced in advance of all services.

Main Responsibilities
  • Recruit, select, and induct new rota administrators, including their ongoing training and development.
  • Line manage Rota staff and administrators, including performance management, time-keeping, sickness/leave monitoring, and adjustments to the rota and HR dashboard as necessary.
  • Ensure operational staff understand the importance of their role in delivering effective, efficient, caring, and positive service to patients.
  • Meet National Quality Requirements in a cost-effective manner without compromising quality.
  • Take ownership of, review, and action the Assessment Pool performance and Call centre shift reports.
  • Ensure all updates internal and external to the service are communicated effectively with the Call centre team.
  • Carry out annual appraisals and maintain good communication links between operational staff, managers, SDMs, Medical Leads, and working clinicians.
  • Work with Service Manager and Medical Lead to ensure operational matters and clinical issues do not conflict and are understood.
  • Ensure the care and motivation of all rota administrators.

  • Ability to work effectively and accurately using Word, Excel, and PowerPoint.
  • Understanding of the confidential nature of the work.
  • Ability to work to deadlines and prioritize workload.
  • Handle difficult situations in a calm, effective, and professional manner.
  • Ability to work effectively alone and as a member of a team.
