Role Description

We require a Policy and Procedure Coordinator to support our governance function at Guru Resourcing Ltd.

Salary: £60,000.00 per annum

About the Job

This part-time position (three days per week) involves providing governance support to the Club's governing body, focusing on policy and procedure implementation.

The successful candidate will be responsible for developing, maintaining, and reviewing governance policies and procedures to ensure they are up-to-date and aligned with current legislation and good practice.

Key Responsibilities
  1. Developing, maintaining, and reviewing governance policies and procedures to ensure they are updated and aligned with current legislation and good practice.
  2. Implementing policies and procedures to ensure effective governance throughout the organisation.
  3. Providing guidance to sub-committees on governance matters, including developing terms of reference, meeting procedures, and reporting requirements.
  4. Coordinating the election and appointment process for committee members, ensuring fair and transparent procedures are followed.
  5. Establishing an annual cycle for governance meetings, liaising with departments and key stakeholders to ensure deadlines are met.
  6. Planning, coordinating, and preparing agendas, papers, board packs, and reports for key meetings.
  7. Drafting governance-related papers for committees, including terms of reference.
  8. Attending key meetings and preparing accurate and concise minutes, ensuring approval and timely distribution.
  9. Maintaining accurate records, filing, and documentation related to governance matters, adhering to confidentiality and data protection requirements.
  10. Tracking and following up action points from meetings as necessary within agreed timescales.
  11. Be responsible for maintaining and updating the governance area of the Club's website.
  12. Supporting the CFO with the maintenance of the risk register and risk management process.
  13. Identifying and recommending improvements to existing processes, aligning with governance practice developments and improving effectiveness and efficiency.
