About the Role

We are seeking a highly organized and effective communicator to join our team as an After Sales Administrator. As a key member of our operations team, you will play a crucial role in supporting our engineers and sales team in delivering exceptional customer service.

Key Responsibilities
  • Sales:
    • Log and track customer inquiries on our system and send acknowledgement emails to clients.
    • Issue quotations for spare parts and repeat bundles to clients, including requesting quotes from vendors.
    • Process customer purchase orders for spare parts, repeat bundles, and site services.
    • Create bills of materials (BOMs) for spare parts, route cards, and works orders.
    • Prepare handover emails for repeat bundles to our UK project department.
    • Follow up on quotations and convert them into orders.
    • Provide administrative support to the After Sales Department.
    • Issue repair and modification quotations.
    • Create and issue SPIRS for document control and client use.
    • Update open orders documents to ensure monthly output targets are met.
  • Site Services:
    • Arrange travel for site engineers, including liaising with our travel agency and booking hotels.
    • Issue preliminary and final job packs for site engineers.
    • Complete site invoicing upon return of site engineers.
  • General:
    • Cover for other department staff when needed.
    • Answer phone calls, direct them appropriately, and take messages.
