We are seeking a skilled Fleet Coordinator to join our team at Facilities by ADF, a thriving London-listed company. As a key member of our fleet management team, you will play a crucial role in ensuring the smooth operation of our vehicle fleet.

Facilities by ADF is the UK's largest provider of premium production facilities to the film and TV industry. Our company has a strong alignment with TV & video-on-demand serial productions, which demand high-quality vehicles and support services. This market is rapidly growing and presents huge opportunities.

Our Fleet:

We operate a fleet of over 230 trailers and mobile units, including make-up, costume, and artiste trailers, as well as production offices and technical vehicles. Our experienced team and dedicated account management provide a fully managed, 24/7 service to global clients on-site.

The Role:

As a Fleet Coordinator, you will be based in our depot in Longcross, Surrey, and report directly to the National Fleet Manager. Your primary responsibilities will include:

  • Maintaining a safe working environment in compliance with H+S Standards
  • Reporting hazards, near misses, and faults to prevent accidents
  • Briefing drivers and dispatching them, as well as issuing driver packs
  • Monitoring and recording employee issues, including lateness, absenteeism, performance, and conduct
  • Ensuring effective driver debriefs
  • Conducting driver licence checks and associated system administration
  • Processing agency declarations and health surveillance declarations
  • Completing personal injury/incident forms and vehicle accident forms in a timely manner
  • Issuing driver infringement forms and discussing rectification
  • Monitoring and processing PCNs, fines, and speeding violations
  • General administration for O' licence and associated compliance
  • Assisting the Assistant Fleet Manager and Compliance Administrator
  • Working with the Planning Department to maximise vehicle efficiency
  • Guaranteeing Vehicle Tacho and Drivercard downloads in good time
  • Key logging, mileage, and completing fuel card and hire vehicle administration and checks
  • Conducting efficient and thorough handovers to the night team

Your Skills and Qualifications:

  • Excellent communication skills, verbal and written
  • Experience working in a fast-paced, dynamic environment
  • Knowledge of Microsoft Outlook, Excel, and Word
  • Able to work independently and as part of a team
  • Able to multitask efficiently in a dynamic and fast-paced transport environment

Salary: £35,000 - £40,000 per annum, depending on experience.
