About the Role

This is a full-time permanent position within the Refrigeration Small Works / Projects department. As a Contract Support Administrator, you will provide administrative and coordination support to the Project Managers and Design Engineers.

You will be required to work 37.5 hours per week between the hours of 09:00 to 17:00 Monday to Friday. This role offers a hybrid working arrangement, with the option to work full-time in the office or a combination of office and remote work.

Your primary responsibilities will include:
  • Providing administration and coordination support to project teams.
  • Processing contract management forms in accordance with company compliance procedures.
  • Liaising with project managers regarding project delivery and installation.
  • Raising purchase orders and sub-contract agreements as required.
  • Issuing sales invoices and applications to customers upon completion of works.
  • Liaising directly with suppliers and sub-contractors regarding deliveries and installations.
  • Producing operational and maintenance manuals, health and safety documents, and site files as needed.
  • Updating and maintaining enquiry logs and contract trackers on a daily basis.
  • Booking hotels for engineers and project managers, and processing timesheets on a weekly basis.
  • Maintaining contract files for each project, ensuring that drawings, designs, quotations, etc. are correctly filed and archived.
  • Carrying out checks on configuration management of project files in line with quality, safety, health, and environment (QSHE) procedures and processes.
  • Performing other administrative tasks as required by your line manager.
